Customer onboarding software with a checklist for every new client

Short answer: Good customer onboarding software makes sure every new client gets the same steps, in the same order, with someone in charge of each one. In Alori, a won deal can start an onboarding project with its checklist of tasks, a kickoff call booked from a link and recorded with a summary, all on the client's record. Health scores and renewals are coming later in a customer success app.

The problem: every onboarding is different by accident

When a deal is won, the work changes hands. The salesperson moves on, and onboarding depends on whoever remembers the steps. So:

  • One client gets a kickoff call in two days, another waits two weeks.
  • A step is skipped, like collecting access or sending the welcome guide.
  • Nobody knows where each new client stands without asking around.
  • The checklist lives in a document nobody opens.

The fix is simple to describe: one checklist, started for every new client, with owners and dates. The hard part is making it happen every time without a separate onboarding tool.

How it works in Alori

1. Win the deal. Drag the deal to Won on the Deals board, or open it and pick its stage. See deals.

2. Start the onboarding project. In Tasks, click Projects, then New project. Pick the client, name it "Onboarding", and Alori suggests the tasks. Keep what you want, add a lead and a target date, and create it. You can also ask: "start a project for the Benali onboarding, due end of month".

3. Let an automation start it for you. Tell your bot what should happen each time, for example: "When a deal becomes Won, add a task to start onboarding and give it to Julie." Automations can start when a deal changes status and can add tasks, notes, texts, emails or Slack posts. Messages to the client wait for your yes first.

4. Work the checklist. Each task can have subtasks, an assignee, a due date and a priority. Teammates click Accept, or Can't do it with a reason. The project shows Progress, counting tasks done. See tasks.

5. Book and record the kickoff call. Send the client a booking link, or a one-time link that closes after one booking. Hold the call as an Alori video meeting with Record on: Alori writes the transcript and a summary, and you can ask "what are the next steps?" about the meeting later. See meetings.

6. Keep the conversation in one place. Emails, texts and chats with the client land in one thread in Conversations. Save your welcome email as an email template so every client gets the same one.

Make it repeat for things that come back

Some onboarding steps come back later: a 30-day check-in, a quarterly review, a yearly renewal call. Make a task repeat every week, month or year: when you mark it done, the next one is created with its new due date.

What is coming: customer success

Onboarding is the first part of customer success. A customer success app is on the way, with health scores and renewals. It is coming soon; see customer health score to join its waitlist. Today, recurring revenue on deals already shows the monthly (MRR) and yearly (ARR) value of each client.

Who it is for

  • SaaS companies moving trial users to paid and set up. See Alori for SaaS companies.
  • Accounting firms and consultants taking on new clients every month.
  • Agencies starting a new retainer.

FAQ

Can Alori start the onboarding checklist on its own? Yes, with an automation. Tell your bot "when a deal becomes Won, add a task to start onboarding" and it sets it up. You can also ask Ask Alori to start the project for you.

Can I reuse the same checklist for every client? When you create a project, Alori suggests tasks once it has a name. Untick what you don't need and add your own steps. You can also ask Ask Alori to add your usual steps as tasks in the new project.

Do clients see the checklist? No. Tasks and projects are for your team. To keep a client posted on a step, file it in Tickets with them as the Customer: Alori emails them when it moves to in progress or done. A client portal is coming later.

Is it free to start? Yes. Starting is free, no card needed, and every plan has unlimited users. See pricing.
