Equipment rental software for bookings, deliveries and getting paid
Short answer: Alori is the all-in-one app for service businesses, and for an equipment rental shop it handles bookings, quotes, delivery and pickup jobs on one schedule, and invoices paid by card. Equipment inventory and availability tracking are not built yet, so keep your current list of units for stock.
A day at a rental shop, and the tools it takes
A contractor calls at 6:45 for a mini excavator tomorrow. A homeowner books a tile saw online for Saturday. Your driver needs to know where to drop a scissor lift and when to pick up the generator from last week.
Most small rental shops juggle:
- A spreadsheet or a whiteboard of units and who has them
- Phone and email for bookings
- A paper delivery list for the driver
- A separate tool for invoices and card payments
- QuickBooks at the end of the month
Double bookings and missed pickups cost money, and every rental gets typed two or three times.
What Alori does and does not do
| In Alori | Keep your current list for | |
|---|---|---|
| Units | Rental rates as lines on quotes and invoices | Which units you own |
| Availability | Which unit is out or free | |
| Deliveries and pickups | Jobs on the schedule, by driver |
Alori does not track equipment inventory or availability. It handles everything around the rental: the booking, the quote, the delivery, the pickup and the invoice.
What Alori gives an equipment rental shop
Online booking. Share a booking link and customers pick an open time for a pickup, a drop-off or an estimate. You both get an email, and customers get reminders before the booking. See schedule.
Quotes signed online. Add your rental rates to your price list once. Build a quote from it, email it, and the customer signs online. Turn on quote follow-up and Alori reminds customers who have not answered. See quotes.
Delivery and pickup jobs on the schedule. Schedule a delivery and a pickup as visits at the customer's address, and assign them to a driver. On their phone, the driver sees the day's stops in order, with directions, a call button, the gate code and a checklist. Photos on each job show the unit's condition at drop-off and pickup. See dispatch.
Invoices paid by card. Invoice a finished job in one click, or make an invoice without a job. Each emailed invoice has a card payment link, and the invoice turns Paid by itself when the customer pays. Turn on unpaid invoice reminders for late payers. See invoices.
One inbox and a business phone. Texts, emails, calls and website chats land in one thread per customer. Get a business number with business hours and voicemail transcripts.
QuickBooks Online sync. Customers, companies and invoices stay the same in both places.
How to start
- Describe your business. Tell Alori what you rent, who rents it and how deliveries work. It builds the app around that.
- Import your customers. Paste a list of customers into Ask Alori, or move from HubSpot.
- Invite the team. Add your counter staff and drivers on the Users page. Every plan has unlimited users.
See plans and pricing. There is a free plan, no card needed.

Can customers book a rental online? They can book a time with a booking link, for a pickup, a drop-off or an estimate. The booking does not reserve a specific unit.
Can my drivers see their deliveries on their phone? Yes. Assign each delivery or pickup job to a driver. Their phone shows the day's stops with directions, the checklist and photos.
Can customers pay by card? Yes. Every emailed invoice has a card payment link. You do not need your own Stripe account. Card payments are in Canadian dollars.
