Notion alternatives for service businesses: your wiki next to the work

Short answer: Notion is a flexible workspace for pages, wikis and databases, loved by teams that like to build their own setup. If you are comparing Notion alternatives because your procedures, checklists and price lists are really about customers and jobs, Alori puts Docs, with pages, a wiki and databases, in the same all-in-one app as your customers, quotes, jobs and invoices, with unlimited users on every plan.

Who Notion fits well

Notion is a strong fit when:

  • You want one blank workspace to shape however you like, for notes, docs, roadmaps and projects.
  • Many teams, like product, marketing and operations, write and plan together.
  • You rely on its large template gallery and its integrations with other tools.
  • You invite outside guests, like clients or freelancers, into single pages.

For teams whose work mostly lives in documents, Notion is built for it.

Why service owners look for alternatives

In a service business, the wiki is full of field work: the furnace install procedure, the job checklist, the van inventory, the price list. When it lives in a separate tool:

  • Nothing links to the job. The procedure is in Notion, the job and the customer are in another app, and nobody connects them.
  • Per-member pricing makes owners leave technicians out, so the procedure gets sent by text as a screenshot.
  • The website can't use it. Your price list and care guides sit in Notion while your website chat answers from somewhere else.
  • Two places to keep up. Every change means updating the wiki and the job tool.

What Alori replaces, and what it does not

For a service business, Alori replaces the wiki and the light databases:

  • Pages in Docs, written with blocks: type "/" to add a heading, a to-do, a toggle, a table, a video or a PDF. Start from a Procedure, Job checklist, Equipment guide, Meeting notes or New teammate template. Teammates on the same page see your changes as you type.
  • Mentions that reach the work. Type @ to mention a teammate, a page, a customer, a job or a date. A teammate you mention is told, and Home and the Inbox show what needs you.
  • Databases with table, board, list, calendar, gallery, timeline, chart and form views, relations, rollups, formulas, buttons, row templates and AI autofill columns.
  • AI in the page. Press Space to have AI write, select words to improve or shorten them, add an AI summary block, or bring a meeting's AI notes into a page. Translate a whole page to English, French or Spanish.
  • Safe editing. Comments, suggested edits to accept or reject, page history kept 90 days, and a lock for finished pages.
  • Pages your website can use. Publish a page at your own website, or turn on "Front desk can use this" so your website chat answers visitors from it.
  • The rest of the business: customers, quotes, jobs, invoices and tasks, all in the same app.

What it does not replace: Notion's public forms (a form in Alori adds rows for teammates who can edit the database), outside guests on a single page, its large template gallery and integration catalog, and Notion Calendar and Mail. A database row in Alori does not start an automation today. If your team is a large company using Notion as a workspace for every department, Notion is likely the better fit. How to switch

  1. Describe your business. Alori builds the app, and you add Docs to it.
  2. Import from Notion. In Import data, click Import on Notion, then Connect Notion and pick the pages Alori may read. Click Import: your pages come into Docs with their subpages, databases, columns and pictures.
  3. Import again later. Share more pages with Alori in Notion and click Import again. Pages already imported are updated, not copied. Markdown, HTML, Word and CSV files can also be imported from the Docs sidebar.
  4. Share by role and invite the team, technicians included. Plans are on pricing, with a free plan and no card needed.

Questions

Another question? Ask it when you start.

For a service business whose wiki is about customers, jobs and procedures, yes: Docs sits next to that work, and everyone gets a login. For a large company that uses Notion as its workspace for every team, Notion stays the better fit.

Yes. Connect Notion from Import data, pick the pages, and click Import. Subpages, databases, columns, text and pictures come over, and Import again updates what changed.

Not yet. A Form view adds rows to a database, but only teammates who can edit that database can submit it. For leads from your website, use the website's own form or website chat.

You pick two things in Share: who can view and who can edit, each Everyone, a role and the roles above it, or Admins only. Private pages stay yours.
